We are currently looking for an Executive Assistant to join our team in Vienna.
About the Role:
We're seeking a rockstar Executive Assistant to join our team and provide comprehensive support to our founder and CEO. In this role, you'll be the CEO's right-hand person, managing his schedule, meetings, travel arrangements, and handling confidential information with the utmost discretion.
Your responsibilities:
- Provide day-to-day administrative support to the CEO
- Manage the CEO's schedule and coordinate appointments, meetings, and calls
- Act as a point of contact for internal and external stakeholders with a high level of professionalism
- Arrange and manage complex travel itineraries, including flights, accommodation, and transportation
- Coordinate interdepartmental meetings and communication
- Handle confidential information and maintain discretion at all times
- Be responsive to emails, messages, and phone calls, with occasional contact outside of normal business hours
- Represent the company and its owners in a positive light through proactive communication and sound judgment
- Conserve the CEO’s time by filtering and routing correspondence; collecting information as needed
- Ad hoc projects as assigned
Who you are:
- 2+ years’ experience in an administrative capacity with prior experience supporting management preferred
- Outstanding organization and time management skills
- Excellent verbal and written communication skills in English and German
- Experience working in a fast-paced environment
- Ability to multitask and prioritize daily workload, working well under pressure
- High level of proficiency with GSuite
- Ability to work independently, applying solid judgment and problem-solving skills
- Excellent interpersonal skills to interact with internal and external clients at all levels
- Resourceful and proactive
- Self-motivated and dependable
- Team player who collaborates well with others
- Systems-savvy, creative and innovative is a plus
